St. Martin-in-the-Fields Annual Meeting – January 30, 2022
ZOOM Meeting – Approximately 60 members present
The 2022 annual meeting was called to order at 12:15 by Rev. Alan Bentrup
A quorum was present

Call to Order – 12:15
Alan recognized the members of the 2021 vestry and delegates and thanked them for their service.
The delegates for convention were announced. Members of the parish voted and all candidates were elected with Linda Seeber as the alternate.
Members voted for the 4 candidates for vestry. All nominees were elected by parish members.
Rectors Report:
- Curate Paula Jefferson will now be the Associate Rector at SMITF.
- Announced the upcoming vestry retreat in February which will be held on ZOOM
Associate Rector’s Report
- Paula spoke about the outpouring response to recreating a Stephen’s Ministry at SMITF.
Treasurer’s Report – DJ Mitchell
- A detailed Treasurer’s Report was sent to all members prior to the meeting.
- Highlights
- Limited carry over to 2022. Budget will be expected to pay for all expenses in 2022
- Emergency fund was used for AC replacements and the surplus from 2022 budget will be used to refund the emergency fund (if surplus funds are available at the end of the year)
Budget Committee Report – Gary Wilkinson
- A detailed report was sent to all members prior to the meeting.
- Highlights
- Reviewed the process for building a budget.
- $431,000 is pledged
- $477,700 is budgeted
- Updated pledges changed the deficit by app. $10,000
Bob Bess
- Updated members of the assets of SMITF
- Announced 15 new commitments and 38 members increased their pledges for 2022
- Shortfall – less than 10% but encouraged members to commit an increase of 15%
Alan Bentrup
- Thank the staff for all their hard work and commitment.
- Discussed current ministries and how members can be involved and the need for new leaders to head the current ministries.
Keen Haynes presented the new vestry members and convention delegates
- Each member made a promise to the congregation to serve.
- Alan formally committed each new member and offered a prayer.

Treasurer’s Report – Gary Wilkerson
- Gary presented the monthly budget/spending report for DJ Mitchell. A copy of the report is attached.
- Outlined the financial plan to finish 2021.
- Chris Mullaney made a motion and Linda Seeber seconded and the vestry voted to accept the budget
Financial Committee Report – Gary Wilkinson
- Stewardship has increased to 87 pledges and $349,000 in pledges
- Discussed some ideas for creating the budget for 2022.
- January 8th will be the first meeting to begin work on the budget for next year
- Chris Mullaney made a motion and Keen Haynes seconded it and vestry approved the financial committee report.
Senior Warden – Keen Haynes
- In need of more delegates nominated for convention
- Annual Meeting is 1-30-2022
- Added vestry members to VPIC duty for January
Junior Warden – Bob Bess and Chris Mullaney
- Chris announced he will begin recruiting for Holy Mowers
- Bob reported that they are continuing work on tile to finish in the Sunday School buding.
Curate Report – Rev.Paula Jefferson
- Reported about pastoral care
- Announced the return of Stephen Ministry
- Update about Hillsboro and their ministries
- Human Flourishing returns the week of 1-9 after a short hiatus
- Discussed a possibility of a Lenten Series.
Rector’s Report – Rev. Alan Bentrup
- Presented Housing Resolutions for both rectors. Vestry voted and approved.
- Asked to begin meetings going forward at 12:15.

- Announced stewardship statistics and a comparison to last year at this point in the stewardship campaign.
- Letters will be going out to parishioners that have not pledged and follow up phone calls.

Gary Wilkinson – Finance Committee
- Commented on stewardship and current numbers
- Committee will start working on the 2022 budget in December
- Finance Committee will meet again on December 18th
Liaison Report – Lisa Goodner
- Godly Play training available
- Good News Garden updates
- Eagle Scout project is about to be completed.
Keen Haynes – Senior Warden
- 4 Vestry Candidates are running for 2022
- 3/5 delegates are running for delegates
Bob Bess/Chris Mullaney – Jr Wardens
- Spoke about the Southlake sidewalk Project
- Tile bids are out for repairs to parish hall
- Painting 5 rooms
- Asked the vestry to consider an increase of $20.00 per week for cleaning contract
- A motion was made by Keen Haynes to approve the clergy to sign off legal agreements in the future (Article 9.2 of the SMITF bylaws) Voted and approved.
Paula Jefferson – Curate Report
- Seen attached for update due to Paula Jefferson not being present
Alan Bentrup – Clergy Report
- Alan is in talks with a group regarding use of the church in the future and a partnership with the church .
- Covid prodicals will continue except asking the committee to drop the registration process.

October 17, 2021

Opening Prayer – Father Alan
Minutes from September were presented – one change concerning the location of the convention from Texas Wesleyan to virtual. Next year it is slated to be at Texas Wesleyan
Bob Bess made a motion to accept the minutes and changes. DJ Mitchell seconded. All approved
Financial Report – DJ Mitchell
- Presented the spending for the month
- Noted that the renovations from the flood are coming to an end and payments will be made
- Presented the budget report which will be on file and attached.
Chris Mullaney made a motion to accept the budget report and Jim McManic seconded. All approved.
Gary Wilkinson
- Reiterated what DJ had reported
- Reviewed the stewardship report for the end of September.
- Committee will begin building the budget for 2022 after campaign ends.
Keen Haynes made a motion to accept Gary’s report and Bob Bess seconded. All approved.
Senior Warden’s Report – Keen Haynes
- 4 to stand for election to vestry and 5 delegates with 2 alternates.
Junior Warden Report – Bob Bess/Chris Mullaney
- Bob discussed the roof repairs and AC repairs, floor replacement and other damages due to the flood.
- Bob made a motion to purchase MyCloud to enhance technology. Discussion about what we should buy and how it will help with our presentations etc. Joe Start seconded the motion, vestry approved the purchase after talking with Chuck Taylor as what he specifically needs.
- Committee met with the City of Southlake regarding a plan for Pearson Lane and how it would affect our grounds.
Pastoral Care – Paula Jefferson
- Met with Alan and Christian Formation leaders. Discussed what was working and what needed to be improved. Made some changes to some of the classes.
- Announced that anointing was being resumed.
Rector’s Report – Alan Bentrup
- Encouraged by Stewardship Campaign and where we are in the campaign.
- Announced worship changes and addition of 8:00 services and attendance.
- Started a conversations about renovations to the sanctuary in the near future.

Noted Finances to Complete 2021
- Insurance Bill
- $5,400.00 property taxes due in December
- Goal to keep office expenses at $1,800 or below
- Currently under plan in giving
- DJ will be sending out a status letter to the parish soon
Chris Mullaney made a motion to accept the budget report and Linda Seeber seconded. All approved.
Gary Wilkinson
- Reiterated what DJ had reported
- Financial Review is submitted
- Canon Waggoner will expect an outside audit in 2022
- Resolution signed for the corporation switch from Ron Pogue to Alan Bentrup as registered agent.
Julie Sutton made a motion to accept Gary’s report and Bob Bess seconded. All approved.
Human Flourishing – DJ Mitchell
- Reported the attendance has steadily increased after adding another book club group.
Senior Warden’s Report – Keen Haynes
- Executive Council Meeting – announced that Canon Waggoner will be going on sabbatical
- Reported information about issues with the ongoing lawsuit.
- Convention will be held at Texas Wesleyan
- Regarding Nominating Committee – changing it so people up for nomination can also be on the committee.
- This year – 4 vestry members and 5 convention delegates to be voted on.
- 1-22-2022 will be the next meeting for Executive Council Meeting.
Junior Warden Report – Bob Bess/Chris Mullaney
- Recognized Chris for the church grounds and how hard they have worked this summer
- Meeting with Southlake regarding changes to park east of the church and how it could affect the church grounds.
- Replaced AC unit.
- Flood Check – Making sure we make use of our resources.
- Changes in the restroom to make them non gender and open to everyone. Signs will go up and changes made them later in regard to replacing and removing barriers in the restrooms.
Pastoral Care – Paula Jefferson
- Reported that the Hillsboro church is growing and flourishing.
- Ministries are busy and more and more and moving forward.
- Christian Formation is progressing and over 50 people have been present.
Rector’s Report – Alan Bentrup
- Attendance at the 8:00 service is increasing
- Attendance at the 10:30 is over 75.
- Boy Scout Project – rebuild and refurbish the outside benches. Presentation will be in November outlining the project.

Vestry of St. Martin-in-the-Field Episcopal Church was held Sunday, August 15, 2021 in person and zoom meeting.
The meeting was opened with prayer by the Rev. Alan Bentrup at 12:35 p.m.
Vestry Minutes from previous months were presented.
A motion was to approve the minutes for the July meeting. Voted to accept.
Treasurer’s Report: DJ Mitchell
- Buildings and Grounds has $26,556 remaining in its budget compared to the $34,135 spent through July 31. However, note that in July, Buildings and Grounds spent $8,037, which of repeated for the rest of the year would total $40,185. The remainder of the year will need to be watched closely.
- Communications had $850 remaining in its budget compared to the $3,620 spent through July 31st. However, note that in July, Communications spent $176, which if repeated for the rest of the year would total $880.
- Worship has $2,933 remaining in its budget compared to the $11,479 spent through July 31st. based on trends the rest of the year would total $4,110

Finance Committee – Gary Wilkinson
- Audit has been completed and Audit certificate issued.
Liason Reports
- Linda Seeber liason to the Stewardship Committee has reported that the Stewardship time line has been completed.
Jr. Warden: Bob Bess
- Both Parish Halls have been painted.
- One A/C unit has to be replaced at a cost of $16,864
- Water damage in the classroom on the south side of the building. Insurance has been contacted.
- Fever United was thanked for painting the parking lot bumpers.
- One more camera is needed in the church at a cost of $879.
Senior Warden: Keen Haynes
Keen covered the need for additional help with VPIC (vestry person in charge).
Curate Report: Paula Jefferson
- Christian Formation is working on 7 different group to meet with the Harry Potter Christian Formation that will start Sept, 22nd.
- Adult mentors are needed for EYC.
- Godly Play training is complete.
Rector’s Report:
- Regathering team pleased with attendance of 8 am- 15, 10:30 am- 50.
- Boy Scouts approved to sell popcorn on Sunday, Oct.3rd.
- Alan again thanked the church for all the gifts and food given to him and his family.
