ST. MARTIN-IN-THE-FIELDS VESTRY MEETING
May 17, 2015
Present: Gregory Anderson, Bob Bess, Jack Bolerjack, Annette Duff, Pat Hollifield, Gil Kleinwechter, Elizabeth Mason, DJ Mitchell, Jim Wilson; the Rev Scot McComas, Rector; Glenda Morehead, Clerk; Treasurer, Doug Watson.
Not present: Charles Busey, Courtney Mullaney and Cyndy Sulots.
A regular meeting of the Vestry of St. Martin-in-the-Fields Episcopal Church was held Sunday, May 17, 2015, at 12:30 PM in the East Parish Hall. The meeting opened with prayer by the Rector. The Senior Warden chaired the meeting.
Eagle Scout Project Proposal
Jacob Tiemann came before the Vestry to request permission to take the preliminary steps to do an Eagle Scout Project for St. Martin-in-the-Fields Episcopal Church. If granted permission he will create a plan showing the scope, projected costs, etc. to his scout council for the required permission from that body, then return to the Vestry for final approval before beginning the necessary labor, with July as a probable start date. His project would involve doubling the size of the current Outdoor Worship Area from 15’x30’ to 30’x30’, moving the standing cross to center it in the enlarged area, and changing the surrounds as needed. Gregory Anderson moved the Vestry approve the preliminary plan for Tiemann’s Eagle Scout Project as outlined. DJ Mitchell seconded the motion and approval was given. Jack Bolerjack will mentor Tiemann as needed.
April Minutes Approved
Gregory Anderson moved the minutes of the April 19 regular meeting be approved as distributed. DJ Mitchell seconded the motion and the minutes were approved.
Jim Wilson moved the minutes of the April 25 meeting be approved as distributed. Gregory Anderson seconded the motion and the minutes were approved.
Treasurer’s Report
The Treasurer reviewed the monthly financial reports. (See attached.) DJ Mitchell moved the treasurer’s report be accepted as presented. Gregory Anderson seconded the motion and the report was accepted.
Stewardship Report
Gil Kleinwechter reviewed his plans for this year’s approach to stewardship. His outline is attached to and made a part of these minutes. He intends that the Stewardship Committee shall include both members of the Vestry and the congregation at large. A principle part of the stewardship campaign will be the development of a 3 – 5 year plan for St. Martin’s. The starting point will be the work the parish completed during the interim period. The Vestry will work with the ministries to help them formulate their individual plans. A draft of the combined plan is scheduled to be ready for the August 2015 vestry meeting.
The Rector stated that stewardship plans require that a representative for the committee attend the Calendar Planning Meeting on June 6 at 1 PM. He has set November 1, All Saints Day, as Commitment Sunday.
St. Martin’s Episcopal School Report
The written report of Karrie Marling, board chair, is attached to and made a part of these minutes. The Rector updated the written report by stating that the current enrollment for fall as of today is 41 students, up from the 38 stated in Marling’s report. Elizabeth Highsmith is the newest member of the staff of the school. She will have social media and marketing duties and will be assisting Interim Director Cindy James.
School Fundraiser a Success: The Rector stated that response from both church members and school parents was gratifying – a large number of items were provided for sale and use, and early analysis indicates that proceeds exceeded expectations. He thanked all who took part in any way. A final amount earned (gross and net) will be provided at the June Vestry meeting.
Christian Education Reports
The written report of Corrie Cabes, Children and Youth Minister and School Chaplain, is attached and made a report of these minutes.
Communications Committee
The written report of Annette Duff, committee chair, is attached and made a part of these minutes.
Newcomers Report
Flo Lowrey reports that since the Newcomer Party at the end of March, we now have 20 families to be invited to a Newcomer Party. One will be planned by or before mid-September.
Grow the Church Ministry
Elizabeth Mason, chair of the ministry, reported that 4 Zip Code parties have been held and 5 more have been scheduled. One is in the planning stage and 6 more are needed in various sections of our church coverage area. The parties will wrap up with two being held at the church in September. The next meeting of the ministry will be Sunday, June 28 at 9:30 AM.
Diocesan Information
New Provisional Bishop Elected: Joel Walker announced that at the special diocesan convention held yesterday, the Rt Rev Scott Mayer was elected as provisional bishop of the Episcopal Diocese of Fort Worth, taking office as of July 1. Bishop Mayer has agreed with the Standing Committee’s request that he plan to serve a term of 7 years.
Chancellor Resigning: Diocesan Chancellor Kathleen Wells is stepping down as chancellor effective as of the November regular diocesan convention. She will continue to serve as assistant chancellor. Wells has served pro bono during the past 5 years of litigation and finds it necessary to focus more on her private law practice.
November Convention: The annual convention of the Episcopal Diocese of Fort Worth will be held November 13 – 14 at Fort Worth Botanical Garden. Walker is once again on the planning committee for the convention.
New Assessment Recommended: Susan Kleinwechter stated that the assessment taskforce has recommended to Executive Council a new formula for assessment of parishes – 10% of the first $50,000 of income and 16 1/2% of all income over $50,000. The taskforce made no recommendations regarding reducing expenses.
Junior Warden’s Report
In the absence of the Jr. Warden, the Senior Warden announced that the new stoves have been installed with an additional $300.00 cost for the plumbing necessary for the installation.
Senior Warden’s Report
Co-Jr. Warden Elected: Senior Warden Bob Bess stated that the size and complexity of St. Martin’s property makes the job of Jr. Warden all but impossible for one person. He asked for a volunteer to act as Co-Jr. Warden with Charles Busey. Gregory Anderson responded to his request. Jim Wilson moved the Vestry elect Gregory Anderson as Co-Jr. Warden. DJ Mitchell seconded the motion, and Anderson was elected. Pat Hollifield offered to help when necessary.
Electric Energy Savings Options: Daniel Fails, Silverstone Electric, recently did an electric energy audit for St. Martin’s. He has recommended several changes in incandescent and fluorescent lighting throughout St. Martin’s. His final report will be considered at the June Vestry meeting. He will also be asked to investigate and provide information on what savings could be gained from making offsite monitoring of the thermostats possible.
Rector’s Report
Worship: Although exact numbers for this weekend are not available at this time all agree that the 10:30 worship service is growing.
Transition Committee: The Rector and Transition Committee continue to meet each month on the fourth Thursday.
Installation of the Rev Scot McComas May 30 2015 11 AM: Additional chairs will be placed in the church and narthex. Chairs will be available in the West Parish Hall with a live feed of the service to the wall-mounted TV there. The service booklet is being prepared and invitations sent out to all priests and officials of the diocese.
Investment Committee Appointed: The Rector has appointed the following persons to serve as an Investment Committee for St. Martin’s: DJ Mitchell, chair, Aubrey Hardman, Gil Kleinwechter, Paula Jefferson, Sue Mitchell, Doug Watson and the Rector himself. The committee met for the first time on May 9 at the Mitchell home. Their next meeting will be on June 27 at 2 PM at the Mitchell home.
Buildings and Grounds Committee Appointed: He has appointed the following persons to serve as a Buildings and Grounds Committee for St. Martin’s: Joe Panther, chair, Gregory Anderson, Mary Anderson, Steve Anderson, Charles Busey, Pat Hollifield, Cathy Tolliver, Kathy Watson and the Rector himself. He will also investigate the possibility of including Constance Smith of Fever United on the committee.
Church Personnel Change: Jan Rees has announced her resignation as Financial Manager as of August 1, 2015. Diana Panther will chair the search committee for a replacement for Rees. Bob Bess, Doug Watson and the Rector are the other members of the committee. The committee hopes to end its work successfully in time for Rees to help train her replacement before church activities gear up for the fall.
Update on Classroom Flooding: Mooring, the remediation firm chosen by the insurance company, continues its work, and will have an update soon. The work should be completed in time for VBS which shall take place June 23-25.
Part-Time Priest Help Considered: The Rector is in conversation with Susan Slaughter with the possibility of her helping with priestly duties, beginning in September. At this point in time it is difficult for him to assess what help he might need once he begins full-time in June. When he has a clearer picture, he will return to the Vestry possibly with a request for funding.
Other Matters
Online Giving Resource: In response to a request by a Vestry member the Finance Committee will determine the best program to use for St. Martin’s online giving.
Thank You Note for New Stoves: A thank you note was read from Kathy Watson writing on behalf of all those who currently use the parish hall kitchen and all those who will do so in the future. She thanked all members of the Vestry for authorizing the funds for the project, Jr. Warden Charles Busey for his research and work to make the stove change-out possible and DJ Mitchell for finding a company who would purchase the old stove and remove it.
Parish Assessment Not Used for Diocesan Lawsuit Expenses: Concern has been expressed at some of the Zip Code Parties by persons who need clarification on the use of the diocesan assessment funds. DJ Mitchell will write an article for publication on St. Martin’s website. The article will be ready for publication by the end of next week.

Children and Youth Minister/School Chaplain Report May 2015
EYC (Episcopal Youth Community)
Wednesday nights will change up a bit in the summer. Teens will be invited to join in Mass on the Grass on Wednesday nights, an informal summer worship experience where teens are an integral part of the service. It’s a great opportunity for youth to be involved in ministry, serving side by side with clergy and lay ministers. After the service, all are invited to stay for a picnic dinner and fellowship. When weather allows, we will stay and play outdoor games.
A Few Highlights:
• EYC will continue to meet during the summer months on every second Sunday for Service Sunday (sack lunches for UGM). Teens meet on the fourth Sunday for Sunday Funday, a time for fun and fellowship.
• Five youth were confirmed by Bishop High in April following a youth confirmation retreat featuring yarn labyrinths, ancient prayer practices and a round of “stump the priest” with our new rector, Fr. Scot!
Sunday School Takes a Summer Break
We are wrapping up an amazing year of Christian formation!
• Children’s chapel begins on May 24 during the 10:30 am service (except for the first Sunday of the month) and will run through the summer months. Children and teens are invited to follow the cross after the Gospel procession for a children’s sermon, liturgy and lots of fun activities. Teens are invited to serve as chaplains leading small group discussions.
St. Martin’s Episcopal School Chaplain Minute
The students at St. Martin’s are preparing for graduation and end of year ceremonies. Students have had a great time learning about the liturgical seasons, Bible stories and lots of fun with music and drama. Kindergarten students will have an opportunity to serve as worship assistants next fall!
Lava Lava Island: Our 2015 VBS Theme
Vacation Bible School preparations are in full swing for children ages 4-5th grade! Join us for a tropical adventure on June 23-25, from 6-8:30pm. It’s three days of island fun, Bible truths and soccer! We are starting to plan our closing VBS worship service that will be held on Saturday, June 27 at 5pm in the church sanctuary with all the songs and prayers the children will learn at Vacation Bible School.
Lava Lava Luau
All are invited to celebrate Vacation Bible School with a luau dinner and a movie in the education building after the closing worship service on Saturday, June 27. Fun tropical food and a Chadder (VBS’s official mascot) movie theater experience awaits.
City Week
Save the date! Youth ages 12-18 are invited to participate in a mission trip to Union Gospel Mission of Tarrant County (UGM) on July 20-23. An optional celebration day at Six Flags will be held on Friday, July 24 for those completing the mission trip.
A mission trip information meeting with lunch will be held on Sunday, May 24 from 12:30 pm-2 pm in the education building. I encourage all interested teens, parents and volunteers to attend.
In addition to the mission trip, St. Martin’s Episcopal Youth Community (EYC) will join forces in June with the youth from Holy Trinity Episcopal Church in Midland, Texas. One of our youth, Justan Presley, was a member of their youth group before becoming a member of St. Martin’s EYC. Holy Trinity’s youth leaders, Kevin Leoffler and Bert Bostic, will be visiting our area and want to get their youth group together with our group for some fun and meaningful work at Union Gospel Mission, a Ranger’s game and worship with us at St. Martin’s!

St. Martin’s Group: Gregory Anderson has agreed to take over the St. Martin’s group on Facebook. We discussed the merits of keeping a group as well as the page, which include more personal peer to peer communication and simpler posting on mobile devices to a group versus a page. Susan Kleinwechter has added all communications committee members as administrators to the group to assist with moderating. Gregory will invite all newcomers to both the Facebook page and group and encourage them to “Like” our pages. He would like to use the group to get the congregation more engaged, as currently there is little activity on the group.

Boosted posts will be limited to $20 each. The school board approved $100 of the $300 total marketing budget to be used for Facebook marketing. Posts on the school Facebook site include the fundraiser on May 16, as well as the monthly enrollment posts. The school fundraiser was also marketed on the church Facebook page.
Regarding VBS, after discussing with Corrie Cabes, the number of posts will be contingent on how the registration numbers look closer to the start date. We will split the $20 into $5 increments to avoid over enrollment and we will also boost posts in short sprints. We are also able to pause the boosted post if enrollment max is reached. We will run the post on the school Facebook page the week of May 18 as this is the last week of school. If needed, we can also post to the church Facebook page. We will wait to see how the street banner increases enrollment. The banner will go up on or around May 20.
Historian – Linda Snow has agreed to take on the role of historian to compile and preserve St. Martin’s history from what has already been documented and fill in the gaps. History of the parish has been compiled through 1999, she will continue from that point forward. Carl Snow will be assisting Linda with scanning documents and digital compilation. The information will be kept in multiple archives: physical media, digital media and media that is publically published. The Rector discussed with the committee a former parish that had a coffee table book made for the 50th anniversary and would like to do the same for St. Martin’s.
Seasons Newsletter: We discussed adding a history section to include an interview with an “old timer” as well as a newcomer profile in each edition. Expansion of content was also discussed, Gregory is seeking direction of newsletter.
Signs: Susan Kleinwechter and Annette Duff have compiled a list of all current outdoor signage of the church and school, as well as additional needed signage (playground). Each sign has been reviewed with pictures and measurements and we have created the verbiage for the small school sign on the monument, the school office sign by the school door, 3 doorbell signs and need to finish the remainder.
For the sign by the red church doors we recommend steel because we can lay a magnet over it to change information. For other things, we want to assess interest in steel and magnetic sheets. We can create ad hoc signs on printable magnet sheets to do things like change service times and post events.
We recommend contracting with Signs in a Flash, which is the sign company on the corner of 1709 and Pearson. Signs in a Flash has confirmed they print magnetic vinyl sheets and can do steel signs in the sizes needed, as well as aluminum. Our sizes needed are stock sizes.
Audio/Visual recording volunteers: We are in need of more volunteers to record sermons. Susan Kleinwechter would like to get a list to the schedulers to stream line the process, but we don’t have enough people currently. We request to be early on the list for the “ministry minute” to promote this ministry.
Communication cards – Discussion involved breaking the current communication card into two cards. Rather than list all the ministries on the back of the card, two cards were discussed, with one card aimed at the newcomer and one at those returning with information on how to get involved with the church. The new “Communication Card” would be basically the front of the current card with a few edits and more room for capturing personal information with the back to have our mission statement. The second card would be a listing of the ministries and how to get more involved in the church – a step 2 type card. The welcome folder is also to be redesigned with the possibility of a pledge card on the inside. The rector has the drafts of the cards and will pass along the feedback to Anika Barbarito and Flo Lowery.
Monthly Meeting – The communications committee will meet as a group with the rector on a monthly basis, with individual members meeting more frequently as needed.

A special meeting of the Vestry of St. Martin-in-the-Fields Episcopal Church was held Saturday, April 25, 2015, at 10:19 AM in the home of Gil Kleinwechter. The meeting was called for the purpose of considering the candidacy of Annette Mayer to the transitional diaconate.
Candidacy of Annette Mayer Approved
Jim Wilson moved the Vestry approve the candidacy of Annette Mayer to the transitional diaconate. The motion was seconded by DJ Mitchell. In secret ballot the Vestry voted unanimously to approve her candidacy.
The Rector will write the required letter to the Commission on Ministry of the Episcopal Diocese of Fort Worth, advising them of the vote.
Jim Wilson moved the meeting be adjourned, and the motion was seconded by Annette Duff. The meeting adjourned at 10:24 AM

Treasurer’s Report
The Treasurer reviewed the monthly financial reports. (See attached.) DJ Mitchell moved the treasurer’s report be accepted as presented. Gregory Anderson seconded the motion and the report was accepted. It was reported that newcomers to St. Martin’s have given a total of over $4,000.00 year to date. The treasurer agreed to change the budget line “Helping Hands” to “Deficit Recovery” to more clearly define the figure.
Finance Committee
The Finance Committee presented a list of persons recommended by the committee as the signers on all church financial accounts. Gregory Anderson moved the list of signers recommended by the Finance Committee be approved by the Vestry. Cyndy Sulots seconded the motion and the list was approved.
St. Martin’s Episcopal School
The written report of Karrie Marling, board chair, is attached and made a part of these minutes. Four kindergarten students are registered for the fall term. There has been favorable response to the request for volunteers for the reading program – there at least four volunteers available for each day. The Rector has appointed Chris Mullaney to the School Board.
Christian Education Reports
The written report of Corrie Cabes, Children and Youth Minister, is attached and made a part of these minutes. The Rector stated that both the NA and ALANON groups will be meeting off-site during VBS. Thirteen kids took part in the Youth Retreat. There will be around 20 persons baptized, confirmed, received, or renewing vows at the 10:30 service next Sunday when the bishop comes.
Communications Committee
Susan Kleinwechter’s written report is attached and made a part of these minutes. Annette Duff announced that the facebook ads cost $20 and received 3262 “hits.” The committee plans to make use of the same kind of ads for the school. The committee is working with the school to provide the correct wording for the necessary signage for the playground. The Rector has appointed Carl Snow to the Communications Committee.
Newcomers’ Party
Flo Lowrey written wrap-up of the Newcomers’ Party is attached and made a part of these minutes. More than 90 people total attended the event. Baskets were available on the tables to help defray the costs of the evening, and over $300 was collected.
Grow the Church Ministry
Elizabeth Mason announced that the committee met last Sunday to plan small group meetings, and the meetings have begun. “Zip Code Parties” are being held in all areas of St. Martin’s membership. These gatherings provide the opportunity for members or persons interested in or curious about St. Martin’s to share a light meal, have fellowship and meet the new Rector. Attendance has been gratifying for the most part. The committee will meet May 17 to assess the success of the events.
Diocesan Information
The report of the diocesan standing committee announcing the nomination of the Rt Rev J Scott Mayer as provisional bishop and the letter of the Rt Rev Rayford High, Bishop of the Episcopal Diocese of Fort Worth, announcing a special convention on May 16 to elect his successor are attached and made a part of these minutes. Joel Walker, a member of the Standing Committee, gave background on both, stating that Bishop High will remain in the diocese and be available to help his successor when needed. A reception to meet the candidate for provisional bishop will be held May 15 5 – 6:30 PM at St. Christopher.
Eagle Scout Project Update
DJ Mitchell announced that Nicholas Chasteler has completed the steps necessary for his Eagle Scout Project, and has presented to the church all the necessary documentation. The Financial Manager has been notified to issue a check to him for $125.00 as reimbursement of a portion of the costs of the project.
Outdoor Property Monitoring
DJ Mitchell has checked with Henry Penner, insurance advisor, who has stated that increased outdoor monitoring will not result in lower insurance costs for the church.
Junior Warden’s Report
New Stove: Jr. Warden Charles Busey provided photos and information on the kitchen stove he has found that fits our needs best (see attached). Gregory Anderson moved the Vestry approve replacement of the current stove with two stoves as recommended by the Jr. Warden with electrical connection installed as needed. DJ Mitchell seconded the motion and the motion carried. DJ Mitchell has provided the Jr. Warden with a list of companies who might be interested in purchasing the current stove.
Spring Cleaning Scheduled: A spring cleaning of all church buildings was set for May 3.
Changes in Storage: Beginning in early August heavier usage of the buildings will require changes in storage needs. The needs will be assessed and possible solutions will be determined. The Vestry will revisit the matter at the August Vestry meeting.
Senior Warden’s Report
Investment Committee: The Finance Committee has agreed that an Investment Committee needs to be formed to study the best options for church investments and to assist contributors in planning their trusts or bequests to the church.
Rector’s Report
Service Attendance April 18 and 19: Saturday 5 PM 27, Sunday 8:30 AM 23, 10:30 AM 190.
Transition: He and the Transition Committee continue to meet each month and he is grateful for their help and advice.
Celebration of New Ministry: The Rt. Rev. Rayford High will install the Rev. Scot McComas as Rector of St. Martin-in-the-Fields Episcopal Church on Saturday, May 30, 2015, at 11 AM.
School Fundraiser: Vestry members were reminded that the school is still short $12,000.00, and as a part of accepting that fact when approving the budget, the Vestry acknowledged the need for periodic fundraisers to benefit the school. The first will be Saturday, May 16 from, 6-9 PM in the East Parish Hall. He asked each person at the table to make a cash donation and to bring in at least one donation from local businesses. Dinner will be provided, and a cash bar will be available. Large-ticket items will be auctioned off and smaller value items will be used in a Silent Auction or raffles.
Update on Classroom Flooding: Recent torrential rains have caused damage to some of the classrooms in the education building. Restoration people have been brought in. Mold has been detected and steps are being taken to correct the problem. The 4 classrooms in question will be off limits to all persons for the rest of the school year. The children of our school and parish have no access to the areas of possible contamination, and they remain safe. Proposals and bids for regular maintenance and cleaning of gutters, etc will be sought, as will proposals and bids for possible additional features to prevent future occurrences of such problems.
Church Financial Approach: The Rector wants St. Martin’s to change the longtime “band-aid” approach to church finances – budgeting for only what is vital to today. It is important to project an image of moving forward, taking the steps necessary to do so.
Energy Audit: He is calling in an expert to do an energy audit and provide recommendations on ways to save on energy, thereby reducing energy costs.
Volunteer Information
The name change from Green Team to Holy Mowers for those volunteering to mow our grounds has brought forward more volunteers to do the job. The call today for more volunteers to bake bread for newcomers produced 6 new volunteers.

St. Martin’s Episcopal School – Report from Board Chair
I am pleased to report that things are going well at the school. Registration for the Fall is underway. Perspective students for the Fall consist of both new and returning families.
We have 19 4 year old students graduating in May.
There will be a fundraising event held on May 16th. Volunteers from the Church and school are working together to prepare for the event. Dinner will be served that evening, and an auction of donated items will be held.

Service Sunday Planning Meeting
Service Sunday has been growing with the help of committed members, Roanoke Lion’s club and newcomers. Look for a meeting on May 3 to plan the expansion of this ministry serving the homeless who find refuge and healing at Union Gospel Mission of Tarrant County.
EYC (Episcopal Youth Community)
Wednesday night meetings are going strong. Teens are invited for fun, prayer and fellowship each Wednesday night from 7-8pm in the EYC room. In the summer months, teens will be invited to join in Mass on the Grass at 6pm on Wednesday nights, an informal summer worship experience where teens are an integral part of the service. It’s a great opportunity for youth to be involved in ministry, serving side by side with clergy and lay ministers. After the service, all are invited to stay for a picnic dinner and fellowship.
A Few Highlights:
• EYC will continue to meet on every second Sunday for Service Sunday (sack lunches for UGM). Teens meet on the fourth Sunday for Sunday Funday, a time for fun and fellowship.
• A youth confirmation retreat for 6th-12th graders is scheduled for April 17-18 off campus. This retreat is an intensive spiritual experience, seeking to prepare youth for the next step in their journey of faith. It’s exciting to partner with the youth at the Episcopal church of the Redeemer in Irving. Bishop High will visit on April 26 at the 10:30am service for youth and adult confirmation.
Sunday School
Nursery, children and teens are trekking through the New Testament this spring at St. Martin’s. Children will learn about Jesus’ life and ministry with exciting, hands-on curriculum.
• Sunday school will end on May 17 with Fun Faith Field Day, celebrating a year of formation, fellowship and more. Children and teens will have a great time with relay races, popsicles and wacky fun. The excitement starts early at 10:00am in the fields by the church building.
• Graduation weekend seeks to honor all graduates at the 5pm Saturday service on May 16 and the 8:30 and 10:30am service on May 17.
• Children’s chapel begins on May 24 and will run through the summer months. Children and teens are invited to follow the cross after the Gospel procession for a children’s sermon, liturgy and lots of fun activities. Teens are invited to serve as chaplains leading small group discussions.
St. Martin’s Episcopal School Chaplain Minute
The students at St. Martin’s are learning short prayers and a children’s creed during weekly chapel services. We are celebrating spring with releasing butterflies, gazing on goose eggs, celebrating Pentecost with flaming prayers and preparing for graduation with new songs and prayers. St. Martin’s students are creating a labyrinth with canned goods, walking the labyrinth and praying for those who are hungry. The students are beginning to understand that caring for others is part of Jesus’ call to each of us.
Lava Lava Island: Our 2015 VBS Theme
This year, we are offering a very exciting Vacation Bible School (VBS) for children ages 4-5th grade! Join us for a tropical adventure on June 23-25, from 6-8:30 pm. It’s three days of island fun, Bible truths and soccer! We will close this incredible experience with a VBS worship service on Saturday, June 27 at 5 pm in the church sanctuary with all the songs and prayers the children will learn at Vacation Bible School.
Lava Lava Luau
All are invited to wrap up Vacation Bible School with a luau dinner and a movie in the education building after the closing worship service on Saturday, June 27. Fun tropical food and a Chadder (VBS’s official mascot) movie theater experience awaits.

A regular meeting of the Vestry of St. Martin-in-the-Fields Episcopal Church was held Sunday, March 15, 2015, at 12:30 PM in the East Parish Hall. The meeting opened with prayer by the Rector.
DJ Mitchell moved that the minutes of the February 15, 2015, meeting be approved as distributed. Gil Kleinwechter seconded the motion, and the minutes were approved.
Newcomers’ Party
Flo Lowrey gave details on the party planned for Newcomers on March 21 following the 5:00 service. (See attached.) Childcare will be provided.
Treasurer’s Report
The Treasurer reviewed the monthly financial reports. (See attached.) DJ Mitchell moved the treasurer’s report be accepted as presented. Greg Anderson seconded the motion and the report was accepted. The ladies who count and deposit the money weekly will be doing their work on Mondays beginning in April.
St. Martin’s Episcopal School
The written report of Karrie Marling, board chair, is attached and made a part of these minutes. Gregory Anderson moved the Vestry go on record as determining the name of the school shall be St. Martin-in-the-Fields Episcopal School also doing business as St. Martin’s Episcopal School. Jack Bolerjack seconded the motion, and the motion was adopted. Elizabeth Mason will contact Cindy James to help her accomplish the necessary changes from the school side. The Jr Warden will work on getting the school signs changed.The Rector has called a meeting of all concerned parties regarding the school website on Thursday, March 19, at 4:30 PM.
Christian Education Reports
The written report of Corrie Cabes, Children and Youth Minister, is attached and made a part of these minutes. The Rector stated that information on VBS scholarships and how to obtain them will be made available closer to VBS time.
Communications Committee
Susan Kleinwechter’s written report is attached and made a part of these minutes.
Diocesan Information
Joel Walker, a member of the Standing Committee, reported that the committee was to have met on Saturday, but the meeting was not held due to the funeral of Pat High. Walker stated that a joint announcement will appear on the diocesan website shortly from the Standing Committee and Canon to the Ordinary Janet Waggoner. It is hoped that a long-term provisional bishop can be found, who would serve with a 7 year contract. The Standing Committee strongly believes that it is not yet time to search for a full-time bishop. They are in conversation with candidates at this time, and the name of the person chosen will be the subject of the announcement.
Junior Warden’s Report
Roof Leakage: Jr. Warden Charles Busey announced that the roof is still covered by a warranty and Don Sulots and his crew will be coming out next week to assess the damage due to recent rains.
Intersection Signage: He is checking into the possibilities for signage at the various corners of Hwy 1709 and Pearson Lane.
New Stove: DJ Mitchell moved the Jr. Warden be instructed to bring to the next Vestry meeting a proposal to replace the current stove in the parish hall kitchen. Cyndy Sulots seconded the motion and the motion carried.
AED Donated: An Automated External Defibrillator has been donated to St. Martin’s. It is currently in the parish hall kitchen. A permanent location will be found for it so it can easily be retrieved when needed. All Vestry members will be trained in its use, as the Vestry Person in Charge is the most logical person to call on when use of the unit is needed.
Senior Warden’s Report
Field Damages: There has been more damage to our fields and a police report has been filed. There is still no decision as to the solution. Police suggest barriers clear across the front of the property, but that is not considered feasible. Ballards may be used on part of the area in question. Fever United will be paying for whatever solution is used, as a part of their ministry to St. Martin’s.
Outdoor Property Monitoring: Gil Kleinwechter will analyze what is needed to provide the best outside monitoring for our needs and will return to the Vestry with a proposal when his work is complete.
Rector’s Report

Reports for Vestry: The Rector stated that reports for the Vestry are due on the second Sunday of the month to the clerk, who sends out emailed packets to Vestry members before the Vestry meetings.

Transition: He and the Transition Committee have met and will continue to meet each month during the transition period.
Susan Slaughter: He will be meeting with the Rev Susan Slaughter soon. A priest in this diocese, she has retired at 72. She has been attending St. Martin’s and would like to assist with pastoral care on a basis of 10 hrs. per week at $1500.00 per month. He plans to see if she would help temporarily in a non stipend position until parish income improves.
Stewardship: The Stewardship Committee will start working in August and the campaign will start in October.
Eagle Scout Project Update
Nicholas Chasteler has finished the physical portion of his Eagle Scout Project for St. Martin-in-the-Fields Episcopal Church. DJ Mitchell will contact Nicholas and help him complete the final steps necessary to reach his goal of Eagle Scout. Following their work, Mitchell will report back to the Vestry.
Other Concerns
Gregory Anderson reported that he had been asked to check the condition of the prayerbooks in the pews and had found that there were many that were too worn to be usable. The Rector stated that an order has been placed for 12 new pew prayerbooks, and he will ensure that at least 10 more are ordered.

Newcomers Bless Service Sunday
It has been great to welcome newcomers to join Service Sunday. It is really my absolute joy to see someone new walk through the door in the education building. They may be a little bit unsure of themselves and I love to sweep them up, inviting them into the frenzy of making sandwiches, sacking lunches and working towards a common goal of feeding the homeless. At the end of each Service Sunday, I see newcomers plugged in, more at ease and finding their place at St. Martin’s.
EYC (Episcopal Youth Community)

The Renegade Lent series will began on Wednesday, February 25 and will run through April 1. This DVD and discussion series aims to debunk false ideas about the person of Jesus. Jesus defied the rulers of the day and established a kingdom on earth. We are asked to join Jesus’ revolution. Teens have worked on creating a mosaic depicting the true nature of Christ. See it unfold in the blue parish hall.

• City Week Mission Trip: June 8-11 will be an exciting week for the youth of St. Martin’s. Teens will head to Union Gospel Mission each day and learn what it is like to be homeless first hand. They will help prepare and serve food to the homeless at UGM, lead worship services and work on projects created by Lezlee Kinney, volunteer coordinator. Adult sponsors from St. Martin’s are needed to mentor teens throughout this trip. Responsibilities will include transportation, working with teens on projects and praying daily for youth and the homeless.
• Good Friday Family Service: Teens are busy working on a worship service for Good Friday that will be meaningful for all ages. Stations with an interactive Lego cross, “salty tears” and an opportunity to reflect on Jesus’ life and death will make this an unforgettable service.
Youth Confirmation: A youth confirmation retreat for 6th-12th graders is scheduled for April 17-18 off campus. This retreat is an intensive spiritual experience, seeking to prepare youth for the next step in their journey of faith. Bishop High will visit on April 26 at the 10:30am service and confirm youth ready to take responsibility for their faith, with God’s help.

• Palm Sunday will be an exciting day in Sunday school for nursery, children and teens. After a palm waving procession with the congregation, the children will return for a Palm Sunday Cinema, with a short movie from the Holy Moly curriculum, depicting the colt’s point of view in the Palm Sunday Gospel. Then, a Palm Sunday skit will be performed by the children, tweens and teens.
• Easter Activities will feature time in the fields for a flowering of the cross, family pics and an Easter Egg Hunt. Children will receive a very special “Jeaster” Egg this year. Children and families are invited to gather in the fields at 9:30am for flowering of the cross, pics and games. At 9:45am, the Easter Hunt will begin. Jesus+Easter=Jeaster (Pronounced “G-ster”)
St. Martin’s Episcopal School Chaplain Minute
The students at St. Martin’s are learning short prayers and a children’s creed in chapel. “Jesus” will make a special visit to chapel this semester! We will celebrate St. Patrick’s Day and learn all about the trinity, represented as a three leaf clover. Students will munch on “trinity treats” and watch a short Veggie Tales movie about the life of St. Patrick. Even the youngest ones are learning about the seasons of the church year, saints of the church and how they can walk with Jesus through interactive stories and Godly Play.

• This is VBS and much more! Our goal is to offer a VBS experience that touches lives and moves hearts closer to Jesus. Partnering with our friends, Fever United, we hope to bring a very different VBS to St. Martin’s. It’s so hot in the summer, so we are moving VBS to the evening so that kids can head to the fields and play fun games, be inspired to be leaders through Christ and learn some fun soccer basics.
• Our evening VBS welcomes everyone, but intentionally invites children of working parents who have not been able to participate in the past.
• Another goal is to specifically invite Fever United Soccer families. We want them to feel comfortable at St. Martin’s and know that we would love for them to become a part of the St. Martin’s family and even worship with us!
Why Three Days?
• We want to pack as much island fun into three amazing days for a couple of reasons. We are working with Fever United’s busy summer camp schedule and need to honor their time and commitment. Also, Fever United has partnered with St. John’s in Southlake for a three day VBS in the past. They’ve found that three days makes it easy on volunteers and families schedules.
A Message from Fever United
Coach Constance Smith had this to say about what children will be learning: “Along with learning the game of soccer and exercise, we will teach that soccer is just a game. Who you are is more important! Your character, teamwork and leadership is more important. We will win or we will learn from the game of soccer…it’s about life skills development on the field.”
Curriculum Corner
Aloha! We have great curriculum from Group VBS, with an island feel. Each day, children and volunteers will journey with Christ through his earthly ministry, while learning island themed Bible songs, and having a great time in a “tropical getaway” complete with a volcano! It’s Lava Lava Island: Where God’s Love Flows!
• Coco’s Preschool Playhouse (4 & 5 year olds): 4 & 5 year olds will have a blast with soccer and outdoor games, snacks, Bible and much more! Preschoolers will enter a tropical paradise, making new friends along the way. They’ll be a part of an island crew and journey through the awesome Lava Lava Island.
• Lava Lava Island (K-5th Grade): Kindergartners through 5th grade become part of an island family, led by their fearless crew leader. Each member of the family has a very important job, from leading the daily prayer to navigating the crew through Lava Lava Island. They’ll have a blast and make their very own volcano erupt! 5th graders serve as assistant crew leaders, training for an opportunity to be a crew leader next year!
Registration starts May 1! The cost is $15 per child, which includes an island t-shirt and floral lei.
Volunteers Needed: I want to especially invite anyone who has not been able to be a part of VBS in the past. This is amazing outreach ministry that you can be a part of! Contact to join in the fun or for any questions you might have. Free childcare is available for volunteers with children ages 3 and under.

As clerk of the vestry I have been authorized by the rector and the senior warden to provide the following report of the April gatherings. Full minutes of the official vestry meetings will be posted after their approval at the next regular vestry meeting. In the meantime if you have questions or want more information, contact any vestry member.
The month of April was a very active one for Vestry members. The Vestry gathered as a group 3 times.
Notes from the April 19 regular vestry meeting:
The Newcomers Party on March 21 was a rousing success. The evening was shared by 19 new families and 47 people working to make the newcomers feel welcome – over 90 people in all. Representatives of the Daughters of the King, Altar Guild and the School came to provide information on their ministries. Flo Lowrey provided a written report to the vestry naming and thanking everyone who helped make the evening such a joy for all attending.
The Rt. Rev. Rayford High will retire as our provisional bishop on June 30, 2015. The Rt. Rev. J. Scott Mayer, bishop of the Diocese of NW TX, is the nominee chosen for our next provisional bishop. Bishop High has called a Special Meeting of Convention on May 16 to elect successor.
The vestry voted to replace the current professional style stove in the parish kitchen with 2 regular sized stoves. Research is being done into the possible sale of the current stove.
Nicholas Chasteler has completed all the steps necessary for his Eagle Scout Project for St. Martin’s, and will be receiving his award shortly.
Recent torrential rains have caused damage to some of the classrooms in the education building. Mold has been detected and steps are being taken to correct the problem. The children of our school and parish have no access to the areas of possible contamination, and they remain safe.
An auction will be held to benefit St. Martin’s Episcopal School on the evening of May 16. Auction items will be solicited from parishioners and community businesses. Items of smaller value will be used in a Silent Auction, while higher value items will auctioned off by an auctioneer. All vestry members and school board members were urged to solicit auction items and participate in the evening. The Rector plans to be auctioneer.
Our school is offering kindergarten for the fall term, and students are already signing up.
The Rev. Scot McComas will be installed as Rector of St. Martin-in-the-Fields Episcopal Church by the Rt. Rev. Rayford High, bishop of the Episcopal Diocese of Fort Worth at 11 AM on May 30, 2015.
On Saturday, April 25, the vestry gathered at the Kleinwechter home. The day began with a 5 minute called meeting during which the vestry unanimously approved the candidacy of Annette Mayer to the transitional diaconate. The Spring Vestry Retreat followed. The Rector led all present in determining their “True Colors” – a quick way to help understand one another – the similarities and differences among the participants. He also shared suggestions from other sources on leadership in churches. The day was full of fun, laughter and learning – to say nothing of good food shared.
On Sunday, April 26, the Rt. Rev. Rayford High made an official visit to St. Martin’s. Following the reception for the Bishop and confirmands the Bishop and vestry gathered informally. The Bishop expressed his joy at the service in which at least 19 persons were baptized, confirmed, received or renewed their vows to the Episcopal Church. He reminded the vestry of our unique positioning – in an area of growth – and the opportunities we have for evangelizing. He assured everyone that he plans to come to St. Martin’s whenever he can even after a new provisional bishop is elected.
